Why we use personal information.
For the Annual Meeting: If you participate in one of our Annual Meetings as a speaker, sponsor, exhibitor or attendee, your personal information will be used in connection with the running of the Annual Meeting, to handle payments and recover debts.
We may also use your personal information to maintain databases that allow us to assess your qualities as a speaker or sponsor/exhibitor or promote our Annual Meeting and other events.
In addition, photos and videos are taken at our events, which may feature attendees, speakers, sponsors or exhibitors, those photos and videos may be used for promotional purposes.
Where the Annual Meeting uses badge scanning technology, your personal information will be used to identify you at certain access points.
You can also allow your badge to be scanned by event exhibitors and sponsors who will use our Lead Capture Tool. When you do so, your contact details will be shared with the relevant exhibitor and used in accordance with applicable data protection laws.
Information Classification: General
When using our online Annual Meeting (Oxford Abstracts) platform, if you choose to interact with our virtual products (e.g. virtual exhibition booths, download or bookmark companies or content, attend sessions, watch videos, accept connections and meeting invites) then your information may be shared with the exhibitor or sponsor to allow them to engage with you. They may contact you in line with your approval to do so, and indication of interest in their product.
For marketing purposes: We may use your personal information to send you emails, newsletters or other marketing emails that keep you up to date with our Annual Meeting. The opportunity to opt out of future marketing will always be provided, and you have the right to amend your marketing preferences at any time.
OTS will only retain personal information for as long as is necessary and as permitted by applicable laws.
